Medical Records In order to attend camp, each camper must have the following on file with the Camp Nurse: 1) a current physical examination signed by your child’s pediatrician; 2) a current record of immunizations; 3) a current Emergency Contact form. The physical examination and immunization records must be current within one year of each child’s enrollment dates at camp. All medical forms must be received two full weeks prior to the start of camp.
Absences and Withdrawals Due to Hayground Camp’s limited enrollment, neither refunds nor make-up days can be given for absences, changes, and withdrawals.
Day Guests Campers may invite a guest to camp for a day, pending the approval of the Camp Director and the Head Counselor of the camper’s group. The day guest must be an appropriate age for the group, and must submit an Emergency Contact Form to the camp office. For safety reasons, day guests of the 11-13 year-old group are not allowed to participate in the Friday field trips. The fee for a half-day guest is $225.00 per day; the fee for a full day guest is $250.00 per day. A day guest of 3 or more days will be charged a full week rate.
Play Date Policy For the safety of our campers, Hayground Camp requires parents to complete a Play Date/Pick-up form with the names and contact information of any individuals approved to pick up your child from camp. Campers will only be allowed to leave campus with their parents or these previously approved individuals. Play Date/Pick-up forms are available at the Camp Office.
Daily Drop-off and Pick-up To ensure a smooth transition into the daily schedule, parents should arrive at camp by 8:45 - 9:15 a.m. and leave campus no later than 9:20 a.m. Campers in the half-day program need to be picked up at 1:00 p.m. and taken off campus no later than 1:15 p.m. so that the afternoon program can begin. Campers in the full day program should be picked up by 3:00 and taken off campus by 3:15 p.m.
Entering & Exiting Camp All traffic must enter the camp from the Mitchell Lane entrance and exit onto Butter Lane. For the safety of our campers, we ask that everyone drive slowly, park in designated areas only and open the driver's side window so that we can direct you.
Camper Dismissal For the well-being of the camp community, Hayground Camp reserves the right to dismiss any camper whose behavior is deemed by the Camp Director to be detrimental to the safety or overall functioning of the group.
Transportation Transportation is available for campers. The weekly fee is $125 per camper or $90 per sibling. *Please note, the transportation fee can not be prorated.
Potty Training In order to be a Beluga at Hayground Camp, a camper must be 3 years old and fully potty trained by the time of his or her first day of camp.
